How it works

  1. Start from the template. The slots are already filled in. Change names, dates and spots to fit your plans.
  2. Share one link. Send it by WhatsApp, email or text. People open it on any phone or computer.
  3. Watch it fill up. Everyone picks a slot and types their name. Full slots close automatically, and a waitlist catches anyone who missed out.

What to ask volunteers for

List each job as a slot: chaperones for a field trip, reading helpers on certain days, setup and cleanup for a class party. Add the date and time so parents can plan around work.

Give each slot the number of helpers you need. Once it's full it closes, so you never end up with ten chaperones and no reading help.

Working with school rules

Many schools require background checks or registration for volunteers. Mention this in the description so parents know before they sign up.

Ask for a first name and the child's name only. You don't need email addresses or phone numbers to organize the day.

Can parents see who else is coming?

By default, yes. You can switch it off so only you see the names.

Do I need an account as a teacher?

No. You get a private organizer link to manage the sheet.

Is it safe to use for school?

Sheets are hidden from search engines, only people with the link can open them, and everything is deleted automatically after the event.
