Why use a sign-up sheet for a potluck?
Without a plan, potlucks have a way of turning into three bags of chips and no main course. A shared sheet fixes that: guests see which categories still need something and pick from what's left.
It also saves the host from answering the same question twenty times. Instead of "what should I bring?" in the group chat, people open the link and decide for themselves.
How many of each dish do you need?
A good rule of thumb for 20 to 30 guests is about four main dishes, four sides, two salads, three desserts and three people bringing drinks. Add one person for plates, cups and cutlery so you don't forget the basics.
For smaller groups, halve the numbers. You can always add spots later if more people say yes.
Tips
- Ask people to mention what they're bringing in the note field (for example "vegan chili"), so you avoid duplicates within a category.
- Add a separate slot for gluten-free or vegetarian dishes if some guests need them.
- Put the date, time and address in the description so everything is in one place.
- Ask guests to bring dishes in containers they don't need back, or to label their dishes.
- Close sign-ups a day or two before the event so you know what's coming.
- Print the sheet and put it next to the food table so people know whose dish is whose.
